DUTIES & ESSENTIAL JOB FUNCTIONS/ RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
• Ensure full presence of reception area during office hours
• Answering the telephone and opening the door, receiving guests
• Serve as a first point of contact for guests when secretarial support is required
• Activities related to incoming and outgoing mail, faxes and courier shipments, such as protocolling
• Preparation of meeting rooms including catering as required
• Keep reception area, storage area, kitchen/pantry area clean and organized and make sure that kitchen consumables are filled
• Supervision of the quality of the office cleaning
• Activities related to the preparation of documents (access to protocol numbers, photocopies, scan copies)
• Input documents in the Sharepoint application as requested
• General services activities such as ordering business cards, office supplies, small presents
• Give support to the organization of company events
• Give administrative support to activities related to the Watch Structure
• Verify correctness of general services invoices
• Organization of business travel
• Give support to the Human Resources colleagues
• Filing support
• Serve as back up during the absence of the management secretary
• Any reasonable request coming from Management

PROFILE OF THE CANDIDATE
- MBO+ education and several years of relevant working experience;
- fluency in Dutch and English;
- sound knowledge of Microsoft Office applications;
- key competencies are: pro-activity, service orientated, representative, good communication skills, flexibility, accuracy, team player,
multi-tasking.
